GSSB Florida sponsors a book reimbursement program for members interested in obtaining certain books or resources for their research that might also benefit our overall library growth.
The program is a 50% reimbursement of the purchase price paid by a member wishing to donate the purchased item to the GSSB Florida Genealogy Resource Library after they use it for a short while. This greatly helps both the member and our library users.
Members must receive pre-approval for the purchase reimbursement from the Library Development Chairperson, who will review the request for budget constraints, overall cost considerations, material duplication, and appropriateness for the library. Once approved, the member purchases the book and provides the chairperson the receipt from the purchase when it is donated to the library. The society reimburses the member for half the cost of their purchase once entered into our collection. The Library Development Chairperson may use their discretion regarding approvals, however, we are always looking to improve the diversity of research materials available in our library.
Procedure for Book Reimbursement
- Submit a book purchase proposal in writing to the Library Chairperson (letter or email is sufficient).
- Once pre-approval is obtained for the reimbursement, the member is notified.
- The member then purchases the book and uses the book for typically around 30 days.
- The member will provide the book and receipt from their purchase to the Library Development Chairperson (or alternate board member) when the book is provided for donation. Note: The receipt must accompany the book (including applicable shipping and handling cost) to receive the 50% reimbursement of the donation.
- Following receipt of the book and purchase receipt, the Library Development Chairperson will::
- Authorize reimbursement to the member and provide necessary records to the treasurer
- Give a receipt for the donation to the member for tax purposes.
- Provide the book to the Library Coordinator for cataloging into the library.
- Provide information to the Bulletin editor so the donation can be publicized.
